Our TERMS AND CONDITIONS and PRIVACY POLICY

When booking with us, or through any agent or Online Travel Agent (OTA), you are agreeing to be bound by our Terms and Conditions.

We are here to help you enjoy your stay as much as possible. Please let us know immediately if you are unhappy with anything during your stay, so we can try and rectify as early as possible. No refunds will be considered for any matter not brought to our attention during your stay.

Deposits and Cancellations - When booking direct, our standard policy is to take a 50% deposit on booking.

10% is non-refundable and covers admin costs. If you cancel more than 14 days before arrival, 90% will be refunded to you.

If you cancel less than 14 days before arrival, there will be no refund.

For last-minute bookings (up to 2 days before arrival), payment is required in full on reservation, and is non-refundable.

For OTA bookings please refer to the cancellation policy on your reservation confirmation.

A no show is charged at the full booking cost. If you have booked on a non-refundable rate, no refunds will be given. We advise all guests to take out travel insurance immediately after booking.

Valid credit card details will be required on arrival as a security deposit for any apartment damage and/or balances if deposit has not been taken by an OTA.

We understand that accidents can happen. Please let us know of any breakages, loss of keys or damage as soon as it occurs. You are liable for the cost of any damage and loss of keys at replacement value. By letting us know of any damage or loss as soon as it occurs, we can try to minimise this cost for you.

For safety and security, we may require you to complete a registration form. This must include details of all guests that are planning to stay. Please refer to our privacy policy for how this data will be used.

Total price includes one set of linen and one towel set per person per stay.

Additional linen and towels are available upon request for an additional charge.

Whilst a final cleaning charge is included in the total cost, this covers the cleaning of floors and bathrooms and linen and towels. We expect you to leave the apartment in the generally same condition as when you arrived. We reserve the right to charge for additional cleaning if necessary.

Our standard minimum stay is 1 night.

The house is non-smoking throughout. Guests are allowed to smoke outside. Please be considerate to other guests. If it is believed that guests have smoked in the apartments they will be asked to leave immediately and will be liable to a charge of R2000 for deep cleaning.

We will allow small children in some of our suites (subject to availability) and will supply a single mattress and linen. If you request this, it is at your own risk and parents will be liable for any damage to glass art, appliances or any other facilities or furniture. Please check you are happy with the arrangements as we are not responsible/liable for any accidents or incidents during your stay. No matter how much care is taken, the lodge and garden can never be completely childproof. The staff and owners cannot be held responsible for any accidents occurring within the rooms or the grounds of the house. It is the parent's responsibility to ensure their children are safe and supervised at all times.

We ask you to be respectful of other guests, and our neighbours. Any excessive noise or disruptive behaviour may result in you being asked to leave, without refund.

Check-in is from 3pm - 8pm and check out is by 10am. Other times may be arranged on request.

During your stay we reserve the right to enter the accommodation at any time for reasonable purpose (housekeeping, maintenance or repairs, inspection).

Maximum occupancy limits are strictly enforced. If maximum occupancy is exceeded, you may be required to check out immediately without refund or adjustment.

We do everything necessary to keep all equipment in the apartment in good working order. However, it is impossible to guarantee that all appliances, facilities, public utilities, etc. will be in working order at all times. We endeavour to correct reported problems, within the realms of our control, as quickly as possible. No refunds will be granted for sudden maintenance or utility or supply problems.

WILDFLOWER LODGE PRIVACY POLICY AND COOKIE POLICY

 

Here at Wildflower Lodge, we take your privacy seriously and only use your personal information to provide the products and services you have requested from us, or have agreed to. We are the data controller in respect of any personal data we collect about you.

For reservations, we may collect the following information for all members of your party: Name, email address, telephone number, ID/passport number.

Other information relevant to customer surveys and/or offers is optional.

If you contact us via email, telephone or our contact form, we will collect your email address, telephone number, and name.

We use a secure website to obtain your credit card information in order to process any purchases/bookings made on our site. Credit card information may also be requested over the phone when a booking is being made. All such information is stored on a secure system and will only be accessed when necessary to take payments as outlined in our Terms & Conditions. This data may be kept for as long as is necessary to fulfil your contract with us (unless a longer retention period is required or permitted by applicable law) before being disposed securely.

We collect and process your information in the following ways: when you contact us directly via our website, or by email, or by telephone, when you register with us online, or on arrival. We also work closely with Online Travel Agents who may store your personal data and pass on information to us.

Personal data that you have provided to us via our website or email will only be processed for the purpose of corresponding with you in relation to the purpose for which you provided it. We assure you that your personal data will not be passed to third parties unless we are required to do so to meet legal requirements.

When you book directly online with us, our booking engine partner, freetobook.com, collects your personal data in order for us to process the order with you. Their privacy policy is available when you book online.

We would like to make users aware that, in the event that you do not agree to your personal data being transmitted to us, certain functions and services provided by this website cannot be used (for example newsletters, bookings etc).

How we use your personal data

We use information held about you in the following ways:

  • To administer a booking, event or reservation
  • Send you emails or call you in relation to your stay
  • To contact you on departure to complete a questionnaire or ask for feedback for your stay
  • To send you marketing & promotional email such as newsletters, updates and special offers from time to time, if you opt in to this method of communication. You are free to opt-out at any time.

The competition is open to anyone 18 years or over except employees of Wildflower Lodge and their close relatives and anyone otherwise connected with the organisation or judging of the competition.

There is no entry fee and no purchase necessary to enter this competition.

By entering this competition, an entrant is indicating his/her agreement to be bound by these terms and conditions.

We have the right to allow more than one entry per competition at times. We will notify specifically in the post if this is the case

Closing date for entry will be stated in the post of the Facebook page. After this date, no further entries to the competition will be permitted.

No responsibility can be accepted for entries not received for whatever reason.
